How do I give my AI agent tools so it can book, save answers, send messages or end calls?
By default an AI agent only talks. It is secure by default: it cannot access your CRM, your calendar or anything else, and it will not book, save information or send confirmations, until you give it a tool. A tool is a permission, and everything an agent does is a tool. Examples are booking appointments (Smart calendar booking and Bookable service, which connect to a calendar we call a bookable), Ask and save (asks questions such as name, email, phone or your own questions like Do you own a home?, and saves the answers to the built in CRM), End conversation (hangs up), creating tasks for your team, moving people between pipelines, and sending emails or SMS.
- Open the agent and click the Tools tab.
- Turn on the tools you want and configure them, for example pick which calendar a booking tool uses, or add the questions to an Ask and save tool. Give the tool a custom name (for example Collect info) or keep the built in name.
- Save the tool.
- Go back to the instructions and tell the AI when and how to use it, as simply as if explaining to a third grader, for example: anytime someone is interested in our service, capture their information and save it using @Collect info. Type the @ symbol and tag the tool by name so the AI knows which tool to use.
To have it hang up, tell it something like: wish the caller a wonderful day and end the call using the end call tool, and tag that tool too.
The instructions control what your AI does, what it says, how it does it and what it knows. An agent that is not connected to a calendar cannot book an appointment, even during a test call. Only turn on the tools the agent needs, since unused tools such as add a tag or add a note can be used at random and add delay. For a demo agent that only shows how it sounds, you can leave the tools off.
